Privacy Policy

Last Updated: December 20, 2025

Your privacy is our priority. Unlike other tools, ReplyDrafter utilizes a browser extension architecture designed to minimize data collection.

1. Information We Collect

  • Account Info: Your email address and usage plan details for billing and authorization.
  • Knowledge Base Data: Documents (PDFs, text) and URLs you explicitly upload to the dashboard to train your AI assistant.
  • Transient Email Text: When you click "AI Reply" in the extension, the specific email text on your screen is sent to our server solely for the purpose of generating a draft. This text is processed and then discarded; we do not retain your email history.

2. What We Do NOT Collect

To ensure your security, we have designed our system to avoid sensitive access:

  • No Passwords: We do not store or access your email passwords.
  • No OAuth Tokens: We do not require OAuth access to your Google/Outlook account.
  • No Inbox Scraping: We cannot read your inbox in the background. We only see what you explicitly click to reply to.

3. How We Use Your Data

  • To generate context-aware email drafts using your uploaded Knowledge Base.
  • To enforce plan limits (e.g., number of authorized email accounts).
  • To improve the accuracy of our AI response engine.

4. Data Security

Your Knowledge Base documents are converted into vector embeddings and stored in a secure database. All communication between browser extension and our servers is encrypted via HTTPS/TLS.

5. Browser Extension Data Handling

The browser extension activates only when you click the “AI Reply” button. It does not persistently store email content. Any locally stored user identifier (stored only within the extension) is removed automatically when the extension is uninstalled.
